Studio space and stations

A studio can have more artists than usable workspaces. Studio space planning keeps expected attendance, artist bookable hours and station reservations separate, then checks them together when you commit work.

Choose whether to track space

Owners and admins can open Settings → Studio space. Leave Don't track studio space selected if artist calendars are enough, including for a solo artist. You do not need to create a station. Existing artist availability and booking-conflict checks still apply.

To track space, generate stations from a count and give them your own names: Chair 3, Window bed or Private room. A name does not set access rules. Set weekly space opening hours, appointment or whole-shift reservation defaults, and setup/cleanup minutes. Each station holds one artist/client session at a time.

Named setup begins in preparation. Saving stations does not enable booking guarantees. Physical stations are separate from the active-artist allowance on your subscription. All current subscriptions include released space-planning features; guest artist profiles still count towards the artist allowance.

Publish who is working

Open Studio schedule to publish weekly attendance, one-off changes or days off. Attendance, artist bookable hours and station reservations are separate. You can use the rota without tracking stations.

Use the hours or pencil to edit attendance; the separate appointment count opens the artist's day calendar. Counts include scheduled and confirmed appointments overlapping the shift, not cancelled sessions or timed holds. They do not mean the whole shift is booked.

For the daily timeline, the live Now marker, repeating patterns and an artist calling in sick, follow Studio schedule and attendance. If protected work blocks publication, Resolve affected work keeps the proposed attendance in its drawer while you change or cancel affected bookings, release eligible unused shift space, then retry.

Reserve and share stations

Open Appointments → Stations view. Reserve space for a published shift, a recurring pattern or a manual interval. Around-appointment sharing reserves the session plus its saved setup and cleanup. Whole-shift space stays reserved even when there is a gap between clients.

An appointment inside its artist's whole-shift reservation uses that parent claim. It does not compete with it or count twice. A cancellation releases an independent appointment claim, but keeps a whole-shift parent. Use Release unused reserved time when you deliberately want to share part of the gap.

Owners and admins can choose shared stations, selected artists or authorised guest visits. They can restrict an artist's allowed stations, grant a reasoned dated restriction exception, and override station turnaround minutes. Guest-only space still needs an authorised visit. Authorisation alone does not reserve the station.

Use a dated opening replacement or closure for a particular date. Resolve affected commitments before changing their opening hours. For an unexpected problem, record an outage: it blocks new use and flags affected work for relocation without cancelling clients.

Review before enabling

An owner or admin chooses a future activation time in Stations and reviews every later appointment and live hold. Assign stations to existing commitments and reserve whole-shift claims first. Refresh the review after resolving anything. Enabling checks rechecks the review before saving.

After activation, new appointments and timed holds need valid attendance and suitable continuous station space. Choose a specific station or Any suitable station. An explicit station choice stays stable; a failed move keeps the original booking intact. A working-hours override does not override attendance, time off, opening hours or capacity.

A saved proposal does not reserve space. Timed holds use the existing 24/48/72-hour deadlines. Payment-protected holds keep their space until payment reconciliation permits release. Converting a hold transfers its allocation to the appointment. Taking a payment alone does not create a booking.

Capacity enforcement remains in place once enabled. Returning to an older app screen does not remove the booking checks.

Start the studio day

The Dashboard's Today in the studio shows expected artists, stations and artists without appointments. A short status shows work needing review or artists needing space. Open Attention and opportunities for names, affected commitments and released gaps that remain usable. Expected attendance is not a check-in record or a productivity score.

Select need review to open the flagged items directly. Each entry shows the artist, session time, station and any overlapping outage, including protected setup and cleanup time. Review booking opens that specific session. Bookings stay in place until you save a change. Review attendance opens the relevant day when staffing needs adjusting; changing attendance does not move a client booking.

Stations shows protected sessions, holds, whole-shift gaps, outages and unreserved opening time. Access rules still apply to unreserved time. On a phone, stations are readable agenda cards. The guest-fit check explores one continuous interval including turnaround, without creating a profile or reserving space. Artist availability, attendance, guest authorisation and the usual booking requirements still need checking before confirmation.

Refresh after changes. The view also refreshes when you return to the tab and at a visible hold-expiry boundary. Assistants see operational space information without gaining payment permissions. Artists see private own-work links and a sanitised studio free/busy view.

Read the station calendar

Use Date → Go, Today or the previous/next controls. Choose Day for an aligned station timeline or Week for a seven-day overview. Select a week cell to open that day. The artist filter highlights a person's work while keeping other station claims visible.

Session cards show the client name, time and artist. An artist’s profile photo or initials sit beside their name; clients do not need a profile photo. Colours and warning outlines describe the session or space status, not the artist. Compact cards shorten long names; open the session to read the full details. Client names follow your booking permissions; a capacity-only view does not reveal other artists’ clients.

  • Sessions protect the appointment time. Grey turnaround blocks protect setup and cleanup.
  • Timed holds use amber and a dashed outline. They are counted separately from appointments.
  • Reserved gaps stay protected inside a whole-shift or manual claim, even with no client in them.
  • Outages have their own warning track. Affected bookings stay visible with review markers.
  • Free space is unreserved opening time. It still needs eligible attendance, artist availability and access before booking.

Open a session or hold for its quick view. For a booked session, choose Change time or station to review and confirm a move in its drawer. Open booking opens the complete workspace, including hold controls and payments. Use Agenda for a time-ordered station list. On a phone, expand one station to read its sessions and free intervals; Date and artist options opens the filters. Calendar key explains the colours and outlines.

The capacity chip has a separate meaning: Preparing space means booking checks have not been enabled, Checks from… shows a future start, and Capacity checks on means the reviewed checks apply. No flagged issues describes the current snapshot; it is not a promise that every gap is bookable.

Save and undo space changes

A successful space change shows a confirmation. Conflicts show an error and keep the entered draft so you can choose another interval. Saving disables repeated submissions while the change is being checked.

After creating a standalone station reservation or recording an outage, its confirmation offers Undo for ten seconds. Undo checks that the space has not changed since the save. If someone has booked, reserved or changed space in the meantime, refresh and review the current calendar before making another change.

Undo is not offered for booking cancellations, payments, eligibility changes, releasing existing space or publishing attendance. Use their normal review controls. The calendars are read-only: dragging the page does not move a client. Open the booking's Session controls to review a different time or station and pass the usual booking checks.

Understand the weekly figures

Seven-day planned space separates usable station hours into booked sessions, setup/cleanup, timed holds, reserved gaps and free space. Outage hours are separate. Nested sessions count once. No-show session time is identified within reserved gaps until deliberately released.

These are planned hours, not measured physical occupancy. Opening configurations have a recorded effective history. Rates stay unavailable before complete coverage, for missing assignments, during unresolved conflicts or where historical claim changes cannot be reconstructed safely. An unavailable rate does not mean zero use.

Check the selected date after saving. Review the artist's attendance, the station claim and the appointment or hold together before offering the time to a client.
