Studio schedule and attendance

Use Studio schedule to see who plans to work at the studio. It works with or without station tracking, so a solo artist can use attendance without creating a station. Expected attendance is a plan, not a check-in record.

Choose the right calendar

  • Booking hours sets when each artist can take appointments, including recurring hours and time off.
  • Studio schedule is the attendance rota: who is expected at the studio and when, including non-client work.
  • Appointments shows the sessions and timed holds already recorded.
  • Stations view shows protected space when your studio tracks stations.

Publishing attendance does not change bookable hours or move a client booking. When capacity checks are enabled, a new booking also needs published attendance and suitable continuous station space. Studio space and stations explains setup and activation.

Owners, admins and assistants manage attendance. Artists can read their own published attendance.

Read the rota

The weekly rota keeps each artist on one row, with a column for each date. Shift blocks show attendance hours. Amber identifies tattoo attendance with no appointments; review labels flag issues such as time off or clock changes. Off and No shift have separate meanings.

Use the hours or pencil to edit attendance. The separate appointment count opens that artist's day calendar. 5 appointments means five scheduled or confirmed sessions overlap the shift; it does not mean the whole shift is booked. Cancelled sessions and timed holds are excluded from that count.

Choose One day for an attendance timeline on desktop. Its bars show attendance hours, rather than the booked time within a shift. On today's timeline, the vertical Now marker uses studio time and updates every minute. It appears only within the displayed hours. Whole week returns to the rota. On phones, use the date strip to move between daily artist lists.

Publish a change

  1. Select the hours or pencil for the artist and date. Select an off or empty day to add attendance.
  2. Choose Just this date for a one-off change or Repeat weekly for a pattern starting on the chosen date.
  3. Set the attendance periods, or choose Not in the studio for a dated absence. Choose the studio work and any station preference where relevant.
  4. Review the dates and times, then Publish attendance. Save draft keeps preparation private.
  5. Check the saved rota. If publishing is blocked, resolve the affected work before retrying.

To change a repeating pattern, select the existing repeating shift. Stop this repeating shift… ends it from the chosen date; earlier attendance and dated exceptions remain recorded. Recurring shifts, exceptions and week copying are under a separate disclosure. Copying a week requires reviewing the target dates.

You can review an import from current working hours before publishing. Overnight attendance needs an explicit end date. A clock-change warning needs a dated shift with the correct occurrence selected; do not guess between repeated times.

A failed save keeps the draft in the drawer. Closing unsaved changes offers Keep editing or Discard changes.

Handle an artist's absence

If an artist calls in sick, open their date and prepare Not in the studio. Check their appointments and active holds too. Adding time off in Booking hours does not move bookings or release protected station claims.

If publishing is blocked, Resolve affected work opens inside the attendance drawer. Your proposed attendance stays in place while you work through that artist's date:

  1. Choose Change booking to review a new date, time or station in a second drawer. Agree a new appointment time with the client, review the old and new details, then confirm the change and client notification. A station-only move does not resolve an artist's absence.
  2. Choose Cancel booking if the session cannot go ahead. In Cancellation & no-show, choose Studio cancelled, record the reason, review the agreed policy and preview the client notification. Owners/admins can approve a refund or record the payment decision; other booking staff leave a dashboard review task. Cancelling alone does not return money. See Refunds and payment checks.
  3. When a future whole-shift reservation has no protected bookings or holds, choose Release unused shift space and confirm. This separate space change sends no client email.
  4. Choose Retry attendance change. Publishing checks the current bookings and reservations again.

The list refreshes after a booking change. It includes all scheduled and confirmed appointments on the selected date; when shortening hours, change only those affected. Held sessions open their specific booking in a new tab so payment protection can be reviewed. Returning refreshes the list.

Repeating changes can affect other dates: use Review date to inspect them too. Reservations that have already started retain their release restrictions. Saved booking or space changes remain saved if you later discard the attendance draft. Queuing an email does not prove inbox delivery.

Check the result

Check the artist's attendance, remaining appointments, active holds and any station reservations together. Publishing a day off does not cancel appointments, refund payments or send a client email by itself.

Use Enquiries and appointments for confirmed date changes and cancellations, Time off for bookable-hours blocks, and Studio space and stations for protected space.
