Analytics and reporting

Start with a question about your studio: which enquiries need a reply, how sessions are progressing, or where your studio has space? Reporting is included on every plan and remains available during private setup and when your subscription ends. Your request queue and calendar are still the places to act on what you find.

Open Analytics

Open Analytics in Studio with booking-management access. Your role and assigned artist access determine the work you can see. You do not need a larger artist-capacity plan to use reporting.

Choose a view

  • Overview: a summary of enquiry activity and upcoming work.
  • Pipeline: the current statuses of enquiries received in the last 30 days.
  • Sessions: current outcomes by artist for sessions starting in the last 30 days, including completed sessions, cancellations and no-shows. Archived artists and unassigned work remain in the figures.
  • Next 30 days: scheduled and confirmed sessions coming up, with booked session hours and recorded quote values. Cancelled and completed sessions are excluded.
  • Studio space: planned allocation for today and the next six days, available to owners, admins and assistants who manage the studio schedule. Solo artists can continue without stations.
  • Payments: booking receipts and refunds by recorded payment date, available to owners and admins.
  • Weekly trend: enquiry and appointment-creation activity across the recent reporting period.

Use the date ranges and explanations shown with each figure. Enquiry, session-outcome and payment reporting use UTC date boundaries. Upcoming session times and the seven-day space window use studio time. Appointment creation is different from the date the session takes place. Session outcomes use the current booked start date and current status, so moving a session can move it between periods. Hours represent scheduled duration, not measured tattooing time.

Read planned studio space

Space reporting uses the same reservations, live holds, setup and cleanup time, outages and whole-shift claims as the station calendar. A session within a reserved shift counts once. No-show time remains within reserved gaps. Bars show sessions, turnaround, holds, reserved gaps and free space.

The overall booked share divides booked hours by usable station hours across the studio. It does not average the individual station percentages. If any station has incomplete coverage, unassigned bookings, a conflict, changed historical claims or unresolved clock-change hours, the combined percentage remains Unavailable. Individual stations explain what needs review. Free hours do not guarantee that a station is suitable for a particular artist, and these figures do not measure physical occupancy.

Use Open station calendar to review the matching week. Studios without station tracking see Not tracked, rather than an invented utilisation percentage.

Read booking payments

Receipts includes confirmed InkWell payments and any external receipts already recorded in the studio’s historical payment data. New cash, bank-transfer or card-terminal receipts are kept in your existing records; the booking payment controls do not add them. Refunds follows the date the refund is recorded, including refunds of payments from an earlier period. Net recorded receipts subtracts those refunds from receipts in this period; it can be negative.

Imported opening balances are shown separately and excluded from receipts and net receipts. They preserve history and do not prove new cash was received in the reporting period. External payments depend on what the studio records. Each ledger entry counts once even when it links both an enquiry and an appointment, and currencies remain separate.

This report covers booking payments. It excludes merchandise, processing fees and bank settlement and does not calculate profit. Use Payments and payouts and your accounting records for reconciliation. A failed report shows Unavailable, not zero receipts.

Read the figures

Quoted values describe proposed or scheduled work, not revenue received. Sessions without a saved quote are not included in quoted value. Recorded deposits and balances also need checking against actual payment records before you use them for your accounts.

Phone and walk-in appointments count as sessions once, alongside appointments linked to enquiries. They do not create an enquiry or increase the enquiry-conversion denominator. Non-client blocks do not count as appointments, quote value or booked station usage. A direct booking without a price remains unquoted; money handled outside InkWell does not become a verified receipt just because time was booked.

An accepted enquiry does not prove that an appointment exists. A zero count and Unavailable mean different things: check missing data or displayed warnings before drawing a conclusion. Messages and payments handled outside InkWell do not appear automatically.

For fees and bank settlement, use Payouts and reconciliation and your accounting records.

Decide what to do next

Use the figures to choose a conversation or piece of work to look at more closely. Read the enquiry before deciding why a client hasn't booked; a number alone doesn't tell you their reason.

Use View requests to review unanswered enquiries or quotes needing follow-up. Open Studio calendar to check upcoming sessions and available time before offering another date.

If a figure seems wrong, check its date range, your artist scope and the original enquiry, appointment or payment entry. Reports read all pages within their reporting bound; a query failure or an exceeded bound must be resolved before using totals. Contact Support with the page and record reference if the mismatch remains.
