Merchandise

Merchandise gives clients another way to enjoy your work, from a print to a studio T-shirt. You can prepare products and merchandise settings privately before subscribing. An active InkWell subscription is required to publish and sell merchandise. Clear descriptions and collection or postage instructions help people know what to expect.

Check access and payment setup

Open Merchandise from the Studio navigation. Its Overview shows orders to fulfil, active products and low stock. Use Products and Orders for catalogue and fulfilment work. Seller details, VAT, delivery and returns are in Settings → Merchandise settings; the Merchandise header links there. Publishing and selling merchandise requires an active InkWell subscription; pricing shows the current fees and plan inclusions. Owners and admins manage retail checkout settings, payments and orders.

Online checkout also needs to be enabled for your studio and your Stripe account and shared legal seller must meet the verification requirements shown in Studio. Connecting Stripe alone does not turn on checkout. If checkout is unavailable, follow the displayed guidance or contact Support.

Set up retail checkout

In Settings → Merchandise settings, complete and save each section:

  • Seller & support: review the shared legal seller name, company number where applicable, public business address and customer support email and phone. Change these in Settings → Business verification; they are read-only in Merchandise settings.
  • VAT & prices: your business's VAT details and the appropriate pricing settings. Check these with the person responsible for your accounts.
  • Delivery & collection: free studio collection, UK postage or both. Add collection instructions and, for postage, a delivery estimate and one P&P charge per order.
  • Returns & warranty: your returns address, cancellation and returns policy, and any additional warranty.

Save your legal seller in Business verification before completing Merchandise settings. Review the customer seller-notice preview before saving. Your studio is the seller and handles fulfilment, returns and customer support. Saved changes apply to new checkouts; existing orders keep their recorded seller details, policies, prices and fulfilment method.

Add and publish products

Start with one item you can describe clearly and fulfil reliably. Tell the customer what it is, its size or format and what is included. For a print, for example, say whether it comes framed; for a T-shirt, explain the size information in its description.

In Merchandise → Products, choose Add product. Add a clear name, description, image and final customer price. New products start as private drafts. Save your changes and use your private preview to review them. Once you have a current subscription covering your active artists and have completed the publishing checks, choose Active and save to publish an item on your public studio page. All plans include merchandise. Customers choose quantities at checkout; check the order’s item quantities when preparing collection or postage.

A visible product needs an eligible public studio page and available checkout before customers can buy it. Review the buying experience while signed out before sharing the link.

Manage paid orders

Open Merchandise → Orders. Search or filter the list to find orders to fulfil, completed orders or orders with refunds.

The customer receives an order confirmation with the saved seller, item and fulfilment details. Check the payment status before handing over or posting goods. Use Refresh payment status if confirmation is pending. Stripe payment confirmation is separate from collection or dispatch.

For studio collection, arrange a time with the customer, choose Mark ready for collection, then Mark collected after handing over the goods.

For UK postage, check the delivery address and record dispatch. Add the carrier, tracking number and tracking link if you have them. Recording dispatch does not buy postage or arrange a courier.

Handle returns and refunds

Review the customer's request against your saved policy and the order's seller details. In Merchandise → Orders, choose the full refundable amount or enter a smaller amount before issuing the refund.

If a refund needs checking, retry that same refund when the action is offered. Avoid creating a second refund while the first result is uncertain. Refunds return to the original payment method and do not restock items automatically.

Client payments covers booking payments. Refunds covers payment-status checks.
